SUMMARY: 

SUMMARY: Responsible for all aspects of processing a multi-state bi-weekly payroll, including the recording of hours of work, processing time records, compiling payroll statistics, maintaining payroll control records, and calculating payrolls by performing the following duties, responding to and resolving questions and problems from employees.

 

ESSENTIAL PAYROLL RELATED DUTIES AND RESPONSIBILITIES: Process Personnel Action Requests submitted by Human Resources Department. Set up new employees, pay rate changes, terminations, direct deposits and other miscellaneous deductions in payroll service company database. Monitor employee time reporting in ShopVue. Research and resolve errors, update accruals and check for authorized approvals. Input, process and balance hourly and salary multi-state payroll, manual checks and special payments using payroll service company reviewing all payroll deductions for accuracy. Audit payroll reports received from payroll service company, sort and distribute payroll checks. Generate biweekly wire transfer and report for ESIP (401K) to be sent to corporate. Generate and submit biweekly flexible spending and dependant care reports. Create various reports on a biweekly, monthly, quarterly, and year-end basis using data from ShopVue and payroll service company database. Respond to questions and resolve payroll related issues from employees at all levels. 2 Set up court ordered wage garnishments in payroll services company database and respond to inquiries from the court or employees. Download general ledger from payroll services company and generate monthly payroll journal. Generate monthly Executive Labor journal, Payroll Tax journal, and various other journals. Process various monthly account reconciliations and update the insurance spreadsheet for human resources. Generate and distribute monthly Labor Utilization report. Process various yearly payroll schedules for corporate. Participate in internal and external audits. Ensure accuracy and compliance of company polices. Ensure compliance with all applicable local, state and federal wage and hour laws. Evaluate the payroll system's internal controls and procedures and recommend changes as needed; identify and initiate appropriate accounting procedures to prevent or correct errors or irregularities. Keep abreast of changes in local, state and federal regulations regarding payroll and ensure that payroll process is in compliance with all requirements.

 

QUALIFICATIONS: Previous experience in Accounting/Finance department including payroll business procedures and principles preferred. Thorough knowledge of applicable state and federal wage and hours laws. Previous experience with payroll process. Maintains the integrity of highly confidential information. Internal customer service with the ability to handle employee payroll issues in a timely manner. Strong analytical and problem solving skills to resolve problems independently. Possess excellent communication skills both verbal and written, to support effective correspondence with internal as well as external customers/suppliers. Thorough working knowledge of MS Office products including Word, Excel, PowerPoint and Outlook.

 

EDUCATION and/or EXPERIENCE: Two year certificate from college or technical school with minimum of three (3) years of related Payroll processing experience and/or training; or a High School diploma or GED Certificate and a minimum of five (5) years of related experience or an equivalent combination of education and experience.

 

LANGUAGE SKILLS: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Excellent written and verbal communication skills. Ability to prepare a wide range of reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

 

MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages. Ability to apply concepts of basic algebra and geometry.

 

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

PHYSICAL DEMANDS: While performing the duties of this job, the employee is regularly required to sit for long periods of time, walk and reach with hands and arms as well as some bending and/or stooping, Occasional light lifting of reams of paper or books up to 20 lbs. or equivalent may be required. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

 

WORK ENVIRONMENT: Majority of work is performed in a typical office environment with no major sources of discomfort. Essentially a normal controlled working environment with noise levels within acceptable safety limits and acceptable lighting and temperature conditions.
