Title:  Receptionist

SUMMARY:

Performs receptionist duties including the operating of a multiline telephone system, receives telephone calls and contacts proper party or takes messages.  Provides operator assistance for outgoing calls.  Receives and routes visitors.  Performs some typing and clerical duties and assists with special projects when needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.

Assures that all calls are answered promptly and pleasantly to assure customer good will.

Takes messages or transfers calls to voice mail when appropriate personnel are unavailable.

Answers questions about organization and provides callers with address, directions, and other information.

Receives, screens and directs visitors, sales personnel, suppliers, contractors and applicants courteously to the department or individual they need to see. 

Maintains proper logs of visitors as required by Company policy.

Monitors visitor access and issues passes when required.

Receives, sorts, and routes mail, and maintains and routes publications.

Performs other clerical duties as needed, such as filing, photocopying, and collating.

QUALIFICATIONS:

Possess excellent communication skills, especially over the phone.  Ability to handle busy office environment.  Personable and friendly; organized self-starter.  Dependability to work assigned shifts to ensure full coverage. Ability to convey positive and professional image to applicants and visitors.  Working knowledge in the use of MS Word, Excel and Outlook software.  Must be able to obtain a U.S. Security Clearance at the appropriate level.

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); with a minimum of one (1) year related experience and/or training; or equivalent combination of education and experience.
